MyRoomHQ is a property and HMO accommodation-management platform that runs the whole lifecycle from one place — properties, tenants, compliance, inspections, maintenance and staff — with everything in sync across web, Android and iOS. We designed and built it for operators managing shared and multi-let housing, where the hard part is not the tenancy itself but the compliance, safety and paper trail around it.

The problem

Operators running HMOs and shared housing juggle a dangerous amount in spreadsheets and inboxes: gas and electrical certificates with expiry dates, fire-safety checks, room inspections, maintenance requests, tenant onboarding and move-outs, and who on the team did what. Miss one certificate renewal and a property is non-compliant; lose an inspection record and there is nothing to show an inspector. No single system held properties, tenants, compliance and staff together with an audit trail — and none worked the same on a phone during a site visit as at a desk.

What we built

We built MyRoomHQ as one platform with a role-based, multi-user core and a live audit layer. Property management covers the full list — add, tag, archive and ban properties, with per-property compliance certificates, inspections, handover checklists and maintenance requests. Tenant management runs onboarding through to signed-out move-outs, with complaints logged and tracked. A staff module with an activity log records who took every action, and an email log keeps a history of what was sent. A collapsible sidebar carries live count badges per module, breadcrumb navigation and global plus per-module search, and a Google Drive integration stores property documents and compliance files. The same system ships as web, Android and iOS, so a manager on a site visit works from the same data as the office, with AI automation handling the repetitive compliance chasing.

What changed

MyRoomHQ replaces the spreadsheet-and-inbox sprawl with one system where a property, its tenants, its certificates and its history live together, and every action is attributable to a named staff member. Compliance deadlines are visible before they lapse, inspections and handovers are recorded rather than remembered, and a team works from the same live data on web or mobile. It is live at myroomhq.co.uk, available on web, Android and iOS.
